QuickBooks Online provides you the features to not only manage the onboarding of both employees and subcontractors, but to assign permissions to all people, customize workflows and maintain efficiency in your company. 

User Set Up Imagine a time way back in the day when an employee would need to handwrite their tax information, a different person would hand that paperwork over to the administrators, and one of those admins would read and enter that data into their system. Can you imagine how many errors would occur? Quickbooks Online has automated that process in order to eliminate so many of those potential errors. You will need a name and an email address on hand, but whether it’s an employee or a 1099 subcontractor, you can send the appropriate tax documents for them to complete electronically. Customize User Permissions The primary administrator has the capability to choose which users have access to which features. This could be anyone from a high-level Company Admin who needs access to purchase orders and user creation or a Standard User who simply needs to clock in and out. You’ll be able to customize permissions with even more detail and Quickbooks Online will provide a visual outline of what each permission allows a user to do, so you know you’re making the right decision for the individual.

A list of some of the most common workflow templates has already been provided for you, although you can build a customize template from scratch. QBO will take you step-by-step through your chosen workflow and give you drop-down menu style options to create any logic conditions needed for that particular process. Assign tasks to specific users, decide who will receive email notifications of progress, and allow users to receive push notifications from their different devices.

FINANCIALS Understanding your finances is the make or break for your business. Don’t be bogged down simply because you’re “not a numbers person”. QuickBooks Online gives you the tools to see and understand your income and expenses and make the best decisions to make more money for your business.

Track Income & Expenses Save plenty of time inputting your transactions for review, QB Online can import from multiple sources include your bank, credit card, or even different purchasing apps like PayPal or Square. Take photos of your physical receipts and they’ll be paired automatically with matching transactions. You’ll have the ability to review these and attach together. Make future sorting easier by categorizing your transactions and even adding custom tags or groups. Estimates of where you spend and where you make money are displayed with dynamic graphs on your Dashboard.

Invoice & Accept Payments Stand out from the crowd by creating custom color schemes and adding logos to your invoices. You’ll be able to include payment links directly on your invoices, automatically estimate sales tax and have the ability to send payment reminders. Since information is updated in real time, you’ll always have accurate tax estimates and the power to put a strategic plan in place.

Create Budgets In order to create budgets in QBO your primary administrator must first give you the permissions to access, create, or delete them. The version of QuickBooks Online your team has will determine how you can add your budgeting information into the system. One of the best time-saving updates in QuickBooks Online Plus is the ability to generate budgets based on the data you’ve already entered. You also have the ability to import an already existing budget and make edits and set goals within QBO. If you’re having trouble creating your budget, you can also choose from a selection of pre-existing templates to help guide you through the process.

Restore Company Data This is a feature I don’t think many people shop for, but are excited to find as a free offering in QBO. Odd situations happen all the time and living in an online world, losing your data can range in the top 5 fears of a company, especially one that’s growing. With QuickBooks Online you can restore, backup, and even copy all your data so you no longer have to worry about losing any of it. Once you’ve connected and enabled your company, you will be automatically set up for a full backup. Set to automatic or manual backup and see when the last data collection occurred and how many changes were recorded. This allows you to rollback any changes you’ve made by date and time or look up past restores. In any case it’s a great feature to have as a safety net.
